The Role

We are looking for a highly efficient, enthusiastic and experienced Executive Assistant. This is an exciting opportunity to join a thriving business, who show no signs of slowing down. You will thrive on easing the load, running a tight ship and acting as ‘gatekeeper’ for the two co-founders. You will have a positive and hands-on approach, always one step ahead and happy to turn your hand to whatever needs doing.

Key responsibilities
  • Diary management and gatekeeper to the co-founders
  • Managing inboxes and email correspondence
  • Overseeing expenses
  • Handling all calls affably and efficiently
  • Multitasking and prioritising an everchanging workload
  • Scheduling appointments and meetings, both internally and externally
  • Facilitating travel arrangements, including flights, trains, hotels, restaurants, taxis and parking
  • Meeting preparation and minute taking
  • Collation and preparation of presentations and reports
  • Project management and problem solving
  • Maintaining office supplies, facilities management and managing suppliers and contractors
  • Meeting and greeting clients and visitors
  • Arranging meetings, coordinating meeting rooms, catering, videoconferencing etc
  • Deal with incoming/outgoing post and courier deliveries

Person Specification:

  • Exceptional organisational and diary management skills
  • Proven experience and ability to prioritise and juggle multiple projects and deadlines simultaneously
  • High levels of flexibility and adaptability
  • Flawless communications and presentation skills, both written and verbal
  • Ability to work under pressure and achieve deadlines
  • Problem solving and decision-making skills
  • Calm under pressure
  • Ability to work autonomously
  • Act as a gatekeeper, determining which emails, reports and telephone calls need to reach the CEO/CTO and which do not
  • Strong business and commercial acumen
  • Able to effectively communicate with and present to senior management and executives
  • Build relationships at all levels of the business and with external contacts
  • Highly competent with GSuite/Microsoft Office Suite
  • Drafting, writing and research skills
