THE ROLE

Within our Skopje Team, Sopro has a great opportunity for a Junior Office & Facilities ExecutiveThis role would suit someone who is a proactive team player, communicates effectively, and is a top-level organizer. The Junior Office & Facilities Executive will be responsible for maintaining, and continuously improving Sopro’s world-class working environment.

As a Junior Office & Facilities Executive, you would be working closely with our Global Office and Facilities Manager, ensuring our offices to run like a clockwork, with equipment suppliers, utility vendors and other environmental aspects including health and safety, housekeeping policies and corporate social responsibility.

Being part of Sopro, you will get the chance to assist in the organisation and realisation of various company events and will take part in supporting the health and wellbeing of our people.

Key responsibilities
  • Assist in handling and distributing all incoming and outgoing post and couriers.
  • Support in ordering for furniture, equipment, consumables and other essential office supplies.
  • Maintain an efficient and auditable ordering process for required goods.
  • Supervise the attendance tracking system: issue access cards for new employees, administrate the system and issue monthly attendance and timekeeping reports to the management team.
  • Ensure uninterrupted supply across all utilities with full redundancy where needed (I.e. internet/power).
  • Participate in maintaining, reviewing and improving the physical working environment enjoyed by our workforce.
  • Promote and maintain office hygiene standards, detects when something needs to be fixed making sure our office always works and looks great.
  • Assist with coordinating legally required employee medical checks and ensure that health and safety policies are on premises, well communicated and up to date.
  • Maintain fire safety environmental and training standards in all working environments.
  • Support in coordinating domestic and international travel, including visa, flight, hotel, and car rental reservations.
  • Demonstrate awareness of the importance of confidentiality in the workplace while handling documentation, in verbal and written communication as well.
  • Plan and execute event related tasks, coordinating small office events, and providing logistical support.
Requirements
  • Previous administrative experience
  • Effectively communicates with vendors, team members and other colleagues
  • Confident in using MS Excel as well as the whole MS Office Package
  • Outstanding written and verbal English skills
  • Time management skills
  • Super organized person, attentive to details
  • A genuine helper with the ability to “make things happen”
  • Proactive team player with a sense of urgency
